Terms of use of collection materials 

These terms of use apply to the archive, object, drawing, art and photograph collections of the Serlachius Museums, as well as the oral history archive, including collection databases.

1. With their signature, the user of the materials declares that they comply with data protection and copyright legislation and the terms of use of the materials, and will not use the materials to the detriment of anyone. 

2. The use of original materials is only possible in the museum’s premises. Electronic materials can be studied online. They require a user account, which can be requested from the museums’ collection services. 

3. Materials must be handled without damaging them. Artworks can only be examined in the presence of a museum technician, conservator, curator or researcher. Draft and archive material can be made available to researchers in the museum’s research space.  The materials are handled carefully with dry, clean hands and they are kept in the original order. Archive cases are only kept open one at a time. Protective gloves must be used in accordance with the instructions of the staff. The staff assists in the processing of large or otherwise problematic materials and, if necessary, provides material-specific processing instructions.  

No drink or food is taken into the research space. The person concerned is responsible for compensating the museum for any damages. Anyone who violates the instructions on use may be denied the right to use the material.  

4. There may be restrictive conditions for the use of archival materials due to agreements made on them, at the request of informants, or to protect them, or to safeguard the researcher’s protection for first use. When using the data, the data protection of the persons and parties about whom the data is contained must be ensured. The informant’s name and other identifying information must be changed or obscured if necessary. 

5. The data is referenced in accordance with standard research practices and good practice. The Gösta Serlachius Fine Arts Foundation, Mänttä. 

6. Permission to publish the material is requested from the persons responsible for the collections. In order to publish copyrighted material, the user of the material is obliged to obtain the necessary permissions from the right holders. The user is requested to submit one copy of a research or publication using the museum’s materials to the Serlachius Museums Library in print or electronically, free of charge. 

7. It is possible to obtain copies of the material in accordance with the museum’s archive service price list, if copying is possible from the point of view of data protection and other legislation and without damaging the material. Copies or self-taken photographs of the materials must not be published or disclosed to other parties without permission, and they must be stored and destroyed appropriately.  

8. Photography is not allowed in the museum’s collection facilities without permission. When publishing photographs taken in a research situation, section 6 of the Terms of Use must be observed. It also applies to posting on social media on a private or public profile.
